TERMS and CONDITIONS

1. Pre-Draw Rules and Transparency

Terms and Conditions: Unclaimed prizes will be [re-drawn/forfeited/used for charity] after 90 days.

The deadline for claiming prizes 28–30 days from the draw.

2. "Reasonable Efforts" Notification Protocol

If a winner is not present at the draw, the organisers will attempt to contact them via the contact information provided.

Within 1 week: A second attempt if there is no response.

Within 2 weeks: A letter or email (if details are available) stating the prize, the claim deadline, and how to collect.

Final Notice: A final written communication stating that the prize will be forfeited if not claimed by the set deadline.

3. Procedure for Unclaimed Prizes (After Deadline)

The fairest approach is to ensure the prize still benefits the cause or the players, rather than the charity simply retaining it permanently without a new draw.

The Re-draw: If the prize is not claimed after the holding period, the organisers shall conduct a new draw with the same pool of sold tickets (excluding the original winner). This is seen as the fairest to participants.

4. Record Keeping and Reporting

Documentation: The Organisers shall: Record the winning ticket number, the prize, contact attempts (dates/methods), the date the claim period expired, and the final action taken.

Records Retention: For small society lotteries, these records must be kept for three years.

Regulatory Returns: If the lottery is registered with a local authority, the return must accurately reflect prizes actually awarded.

Avoid Private Gain: All proceeds must go to the charitable cause, not private gain.
